Create a self-signed digital certificate (ID) using Adobe Reader for use with Print2PDF

There are many ways to create a self-signed digital signature certificate (also called a digital ID), but Adobe Reader 9.0 provides the easiest way to generate and automatically store it in the Windows Certificate Store so it can be used with the Print2PDF signing function. Read below to see how this work.

Generate a Self-signed Certificate

Do the following to generate a self-signed key with Adobe Reader:

Launch Adobe Reader.
Click Document - Security Settings.
Expand Digital IDs on the left and then click the Add ID button .
Select A new digital ID I want to create now, and click Next.
Select Windows Certificate Store, and click Next.
Enter your information, when you sign a document, this will appear in the Signatures panel.
Select 1024-bit RSA from the Key Algorithm option (it is the most compatible).
Select Digital Signatures and Data Encryption from the Use Digital ID for option.
Click Finish to generate and store the ID.

Use the Self-signed Certificate with Print2PDF

After you generate the self-signed key, you can use it with Print2PDF. Do the following:

Print a document to the Print2PDF printer.
Enable the Add Digital ID feature.
Click Edit Digital ID…
Click Select… and choose your Digital ID from the list, then click OK.
Click OK again and choose Save to create the signed PDF.

Digitally sign and stamp an image signature to any file or form using Print2PDF

Print2PDF can digitally sign and stamp a hand-written image signature to any file or form. This example will use the simple IRS W4 Form (.PDF) that includes editable text fields, but does not include a PDF signature field. You can use Print2PDF to sign anything, even forms that do not have a standard digital signature field, by printing the document to the Print2PDF printer. Read below to see how this works.

Add Digital Signature

Print the form to the Print2PDF printer using Adobe Reader and do the following to add a digital signature:

Enable the Add Digital ID feature.
Click Edit Digital ID.
Click Select… and choose your Digital ID from the list, then click OK.
Enter the Reason and Location as needed.

Add Hand-written Signature Stamp Image

To add a stamp of your scanned hand written signature, doing the following:

Enable the Show image signature feature.
Click Browse… and select the image with your hand written signature, then click Open.
Select the option Manually place the signature and drag the signature to the location.
Adjust the Signature size slider as needed.
Click OK to confirm all Digital ID selections.

View Signed PDF Document

Click Save to begin the conversion process. If the Open in Adobe Reader option is enabled, the output will automatically open in your PDF reader. Click the Signatures tab on the left to see the details on the digital signature added by Print2PDF.

Add a digital text watermark with page numbers to a document using Print2PDF

Print2PDF can add a digital text watermark to identify the contents of the document to the reader (e.g. Draft, Confidential). Just print the document to the Print2PDF printer and enable the watermark feature. The software can also add the page number to the watermark text. Read below to learn more.

Add the Watermark

Just print your document to the Print2PDF print driver, and follow these steps:

Enable the Add Watermark option. Click the More >>> button if you do not see it.
Click Edit Watermark…
Enter the text you desire for Watermark text (e.g. DRAFT PAGE %P).
Click OK.
Click Save to begin PDF creation.

View Watermarked Document in Adobe Reader

Open the output PDF in Adobe Reader to see the watermarked document. You may need to repeat the print process and adjust the Watermark ink strength until you obtain the desired effect.

Print2PDF batch document conversion from the command-line

Print2PDF batch conversion can be automated from the command-line to provide directory-based document conversion on-demand or integrated as a Windows Scheduled Task to provide daily conversion. Just copy the files to be converted into a directory and run the following commands to convert.

Use the following command to create a file list from a directory:

dir [path] /b /s > c:\filelist.ini

Print2PDF can embed document-level file attachments into Adobe PDF

Just like attaching a paper file to another with a paperclip, you can use the Print2PDF Add Attachments feature to embed electronic files into your output PDF document. The recipients of your file will see these document-level attachments from the Attachments tab in Adobe Reader.

Add Attachments

Adding document-level attachments is easy, just follow these steps:

Print a document to the Print2PDF printer, or use the Print2PDF Batch Conversion application.
When the Print2PDF dialog appears, enable the Add Attachments option (click the More >>> button if you do not see it), and click Edit Attachments…
Click Add… and select a file to attach to this PDF document, then click OK when finished.
Now click Save (or Convert) to begin the attachment process.

View Attachments in Adobe Reader

Open the output document in Adobe Reader and click the Attachment tab on the left bar (the paperclip icon) to see a list of files attached to this PDF document.

Use the Print2PDF prepare client feature to create a custom distribution for your organization. This is perfect for installation on computers not connected to the main Print2PDF installation, or if you have problems with the shared network printer installation. After you generate your custom client, the client installation can be done from a simple .exe program distributed via USB flash or a network share.

Steps to correctly generate your custom client

Follow these steps to correctly generate your custom client. Please be aware that if you do not activate your software before you generate the client, all installations with this build will be trial, and will not be activated:

Install the Print2PDF software on your server, or choose a computer that will be considered your main installation.
Activate the software with your purchased license using the Product Activation program from the Print2PDF program group.
Execute the Print2PDF Prepare Client batch script from the Print2PDF program group.

NOTE: If you have problems with the prepare client script, it can be found in the following location: %ProgramFiles%\Software602\Print2PDF\Client\prepare-client.bat. Run this script with Administration elevation since it requires write access to a location as a parameter (e.g. prepare-client.bat c:\temp\)

Using less paper is the most obvious benefit, but also storing and organizing massive amounts of paper is very cumbersome and time consuming. Use the Print2PDF virtual printer to organize your life digitally using the Portable Document Format standard.

Convert Web Page to PDF

The below example shown is using Microsoft Internet Explorer 8, printing an article from the New York Times website, and using Adobe Reader 9.3 to view the output PDF. Make sure you click the print link in the article so you will receive a view formatted for print output, and select the Print2PDF printer to ‘Save as PDF’.

Archive and convert Google Gmail e-mail and attachments to Adobe PDF through SSL POP3

Print2PDF can be used to convert e-mail messages and attachments from any POP3 account. This example will show you how to setup your Gmail account to allow POP3 access, configure the PDF conversion settings to add attachments as PDF attachments, and define the e-mail archive folder.

Configure your Google Gmail account to allow POP3 access

By default, Gmail does not allow POP3 connectivity to your e-mail messages. Please do the following to allow access over POP3:

Login to Google Gmail.
Click Settings and then click Forwarding and POP/IMAP.
Click Enable POP for all mail.
Click Save Changes.

Configure the Print2PDF Watcher

This example will show how to connect the Print2PDF Watcher to your Google Gmail account and convert all e-mail and attachments into one PDF. Do the following:

Launch Print2PDF Watcher.
Select the Watched e-mail radio button.
Enter pop.gmail.com for the POP3 server, enter your Gmail username/password for POP3 login name/password, enter 995 for the Port, and enable the Use secure connection (SSL) checkbox.
Change Remove after to 999 so the watcher will not remove messages from the inbox.
Change Convert to Letter and attachments.
Change Attachments to Add attachments as PDF attachments.
Click the Output tab.
Change the Output file name to %EMAILMESSAGE-ID%.
Enable the Output to folder checkbox and enter C:\Gmail\output\
Enable the Move source to folder and enter C:\Gmail\archive\
Clicik File Save Configuration As, and give the configuration a name like Gmail.ini.
Now click Start to begin the conversion process.

Once the POP3 download and PDF conversion is complete, you will find the output PDF documents in the OUTPUT folder and the original source .EML messages in the ARCHIVE folder. See the screenshot below to compare the directories:

The feature limited Microsoft Word Starter 2010 does not support the creation, editing, or running of macros. But even though you cannot use the built-in Print2PDF macro, you can still use the advanced PDF creation functionality of Print2PDF directly. Read more to see how.

Just print directly to the Print2PDF printer to access its features. Do the following:

Launch Microsoft Word Starter 2010.
Open any document you desire.
Click the File tab and then click Print.
Select Print2PDF from the Printer selection.
Now click the Print button to begin the print process.

NOTE: Please be aware that table of contents (ToC), bookmarks and hyperlink conversion will only be available if you use the included Print2PDF macro.

Create a custom paper size in Windows 7 for Print2PDF

Print2PDF supports custom paper sizes up to 200 inches, but some paper sizes may need to be added manually in order to appear in the paper size list in Print2PDF. Microsoft’s latest operating system, Windows 7, requires a few different steps than older versions. Read more to find out how.

Add Custom Paper Size

To define a new page size (form), follow these steps:

Click the Start menu, then Control Panel, and finally View devices and printers.
Click a printer in the list (e.g. Print2PDF), then click Print server properties.
In the dialog box that appears, check the box for Create a new form.
Give the new page size a unique and descriptive Form name, such as ’24×36′ or ‘Custom A size’.
Select Metric or English units as required.
Define the page size with the long dimension as the width and the short dimension as the height.
Click the Save Form button.
Click the OK button when finished.

The new sizes should now appear in the page size selector in the Print2PDF Configuration. If it does not appear, then it is it too large or too small to be printed by Print2PDF.

How to enable the Print2PDF macro for use in Microsoft Office 2007

Print2PDF includes macros for Microsoft Word and Microsoft Excel. These macros provide advanced functionality like hyperlink and table of contents conversion. After installation of Print2PDF, you will need to perform a few additional steps to allow these macros to function due to default security settings in Microsoft Office 2007. Control PDF creation using Print2PDF profiles distributed from a shared printer, network drive, Terminal Services, or Citrix XenApp

Print2PDF can be configured to distribute customized preferences and profiles to clients. A client can choose to use the printer from a shared printer (Add printer) or through a multi-user environment such as Terminal Services or Citrix XenApp (AKA: MetaFrame Presentation Server). This makes it easy to unify PDF conversion settings in your organization by locking down the PDF creation process.

Configure Print2PDF to distribute preferences to clients

All integration options are available from the Print2PDF Configuration utility in the Print2PDF Program Group. To access these options, do the following:

Launch Print2PDF Configuration from the Print2PDF program group.
Make sure the Show the Print2PDF Save dialog option is enabled and Profile only is selected.
Change the preferences and Add/Modify/Delete the profiles as you see fit.
Enable the Distribute preferences to new clients for shared printer clients and the Distribute preferences to all users on this computer for Citrix and Terminal Service users.
Enable the Use share profiles placed in network folder option and define the Shared profile directory if you wish to sync profiles using a network folder.
Click OK to confirm all settings.

Once the above has been performed, a client user can either add the shared Print2PDF printer to the local workstation or use the Print2PDF printer in a multi-user environment. Do the following to see the simplified interface:

Print any document to the Print2PDF printer.

Changing the preferences

Preferences can be changed at anytime. In a multi-user environment, changes will take effect immediately, but once the printer has been shared and added to a client, this requires another step. Any client with the Print2PDF printer currently installed will need to reinstall the printer. To do this, simply delete the printer from the client and re-add it from the server. If you are using a network folder to distribute profiles, this step will not be needed since the client will read the network share in real-time.

Use Print2PDF Batch Conversion to stamp, watermark, linearize, rotate, encrypt and digitally sign PDF files

A batch conversion application is included with Print2PDF. This application can easily mass convert common office documents (e.g. .DOC, .XLS, .PPT, etc.) to PDF or post-process existing Adobe PDF files. This article will show you how to do the following in a batch process: stamp, watermark, linearize (fast web view), rotate, encrypt and digitally sign the output PDF files.

Batch post-process existing PDF files

Print2PDF can batch post-process existing PDF files with the wanted features: stamp, linearize, rotate, encrypt, and digitally sign (NOTE: watermark is NOT supported). This process will directly apply the necessary features to the PDF and no other third-party application is required. Do the following:

Launch the Print2PDF Batch Conversion application.
Select Adobe PDF (*.pdf) from the Files of type list.
Hold the CTRL key or SHIFT key on the keyboard and left click with the mouse to select multiple files you wish to convert.
Configure the conversion options as needed (e.g. Add Digital ID).
Click Convert to begin conversion.

Batch convert documents to PDF

Print2PDF can batch convert documents into PDF and at the same time apply the wanted features (e.g. stamp, watermark, linearize, rotate, encrypt, and digitally sign). This process will launch the native application in the background, print the document, and apply the necessary features. Do the following:

Launch the Print2PDF Batch Conversion application.
Select All file types (*.*) from the Files of type list.
Hold the CTRL key or SHIFT key on the keyboard and left click with the mouse to select multiple files you wish to convert.
Configure the conversion options as needed (e.g. Advanced - Fast web view).
Click Convert to begin conversion.

Simple VBScript (VB/VBS/VBA) for converting documents (DOC/XLS/PPT/EML) to PDF from a SOAP web service

Print2PDF includes an easily accessible web service. Once the Windows Service has been installed and integrated into Microsoft Internet Information Services, you can call the web service from virtually any programming language that can communicate via HTTP to the server. Unify PDF conversion in your organization using the same Print2PDF profiles (e.g. Standard, Archive PDF/A-1a).

Add an electronic digital ID and signature stamp image to an Adobe Acrobat PDF using Print2PDF

Print2PDF can add an electronic digital ID and stamp a signature image to any print output. This will allow you to verify the authenticity of the document, integrity, and add a traditional hand written physical signature to the document. Read below to see how this works.

Add digital ID

Print anything to the Print2PDF printer (e.g. Notepad) and do the following to add a digital signature:

Enable the Add Digital ID feature.
Click Edit Digital ID.
Click Select… and choose your Digital ID from the list, then click OK.
Enter the Reason and Location as needed.

Add digital signature stamp image

If you wish to add a physical representation of your signature, you can insert an image scan of your hand written signature by doing the following:

Enable the Show image signature feature.
Click Browse… and select the image with your hand written signature, then click Open.
Position the signature as desired (e.g. Automatic bottom right).
Click OK to confirm all Digital ID selections.
